For immigration teams

Immigration updates clients can rely on.

Immigration applications and appeals are often fixed-fee work, and for clients the stakes could hardly be higher. Matterping sends a clear update at every stage, from the document checklist to the Home Office decision, so clients aren’t left wondering.

Why clients chase

Anxious clients, long decision times.

Immigration clients are waiting on decisions that affect their jobs, families and futures. Long periods with no news from the Home Office or the tribunal naturally lead to calls, emails and messages.

Many clients already use WhatsApp every day, often to keep in touch with family abroad. Sending updates there, in plain English, means they actually see them.

Built for fixed-fee work

Many immigration applications are quoted at a fixed fee. Calls asking whether the Home Office has decided yet are unpaid time on every one of them.

Every stage, explained as it happens.

Set up your stages once, with wording that suits your clients. When a fee earner completes a stage, the client gets a short WhatsApp update saying what has happened and what comes next.

This example is illustrative: you choose your own stages and wording, add any your process needs, and skip any that don't apply.

SRA Transparency Rules, rule 1.5(f)

SRA Transparency Rules

You've published the stages. Now tell clients as they happen.

The SRA Transparency Rules require firms to publish price and service information, including the key stages and likely timescales, for the preparation and submission of immigration applications (excluding asylum), and appeals to the First-tier Tribunal (Immigration and Asylum Chamber). Matterping turns those published stages into live updates for each client.

Built for immigration teams.

Business account, not personal phones

Updates come from your firm, with every message kept on the file, rather than from a caseworker’s own WhatsApp.

Consent recorded

Record each client’s agreement to WhatsApp updates, and how they gave it.

Keep detail out of messages

Say what has happened and what comes next. Keep personal detail for a call or a secure letter.

Seconds per update

Complete a stage and the client is told, in your firm's name. No drafting, no phone tag.

Replies on the file

Client replies land on their matter and flag it for the fee earner. Unmatched replies go to a shared inbox.

Questions firms ask

Can we message clients who are abroad?
WhatsApp works internationally, so clients abroad can receive updates on their usual WhatsApp number. Talk to us in your demo about international numbers and text message backup.
Can updates be in other languages?
You write the wording for each stage, so you can set up matter types in the language your clients prefer.
Should we use WhatsApp for asylum clients?
Matterping is aimed at fixed-fee immigration applications and appeals. For any matter, only message clients who have agreed to it, on a number that is safe to use, and keep sensitive detail out of messages.
Do clients need to download anything?
No. Updates arrive on WhatsApp, or as a normal text message for clients who prefer it or don’t use WhatsApp. There is no app, portal or password.
Who writes the messages?
Your firm. Each stage has a short, plain-English explanation and a "what happens next" line, written once and reused on every matter. Fee earners can adjust the wording for an individual client before an update goes.
